The brief
Brightgate Realty is a small real-estate team. Buyer inquiries come in from everywhere: the website, yard signs, open houses, calls and ads. Agents spend the day at showings, so messages wait for hours, and by the time someone replies, the buyer may have moved on.
My approach
- Reply first, automatically: every new inquiry gets a friendly text within seconds, with a link to book a showing.
- Stop when a person steps in: follow-ups pause the moment the lead replies, books or an agent takes over, so nobody gets pestered.
- One clear pipeline: four stages from new lead to offer, with the lead source and the next automated step on every card.
- Clean and calm: white screens on a light canvas, one confident teal for actions and automation, and soft colour codes for lead sources and step types.
What’s inside
- A pipeline dashboard with a conversation panel showing the instant reply
- An automation builder where each step is an editable node, with quiet hours and a live text preview
- A lead timeline on mobile that shows every automated touch
- A showing booking page the buyer sees, plus a confirmation screen
- Agent notifications and an inbox that flags who needs a personal reply
